On Shift:
Everyone standing in the studio. Longest wait at the top — work down. Tick boxes to sit several down together.
Booked, but not through the door yet. Nothing to do — keep their seats free. They move up the moment they sign in.
Tap a table to give them longer, move them, free a seat, or seat somebody there.
Everyone else — members and regulars who skipped the iPad.
Members are the money. Guests are the pipeline — a guest on their third visit is a membership conversation. Seating happens on the Floor tab; this is the record.
For when the iPad is out of reach — guests normally sign themselves in at the door.
Everyone on a membership, at a glance: what they have left this billing month, when they were last in, and anything they are owed. Tap a member to edit them or give back a session.
Jade gets a drink on us, Diamond a bottle of rosé. Guest passes reset on each member’s own billing date.
Time to order the rosé.
Put something on the house. A member’s comp goes onto their allowance for this billing month and resets with it; a walk-in’s free play sits on their record until the next time they’re seated. No PIN — but every comp is logged against your name.
What They’re Getting
How Many
Worth a few words — this is what you’ll be reading back in six months.
Guest passes belong to a membership, so a walk-in can only be given open play.
Take one back if it went to the wrong person. Anything already used stays on the record.
The handful of numbers worth watching. Pick a stretch of time and the top four sections follow it; the members and guests below are the roster as it stands today.
Seats that sat down in each hour, added up across the dates you picked. Dashed squares are closed hours.
Tap a line to open that list.
Every day in the dates you picked, as a spreadsheet — for anything the charts above don’t show.
Send them a payment link and Shopify does the rest — the membership appears here on its own once it’s paid. Adding someone by hand takes no money, so that’s a comp.
How They’re Paying
Recorded against your name and shown on the roster.
Who was on and what went through the desk. Counts, not scorecards — it’s here to show whether the floor is keeping up.
Seating a drop-in records the money automatically, so the app can never notice a payment that was missed. Counting the drawer against this number is the only thing that will.
Anyone on a session, a guest pass, free play or a prepaid booking is not in this number — they owed nothing.
The studio database backs itself up automatically, so there’s nothing you need to do here. Download a copy whenever you want one of your own.
Every member, guest, visit and perk in one file. This is the one that could rebuild the studio.
Open in Excel or Numbers — handy for mailing lists and accounting.
Empties today’s queue: every booking that hasn’t been seated, and everyone who signed in at the door and is still waiting. Sessions go back into member allowances. People already sitting at a table are left alone.
This is for clearing out test bookings before you open. On a real day, use No Show or They Left on the row instead — those keep the record straight.
Empties every table at once: everyone sitting down is taken off the board and their visit is removed from today altogether. Sessions and guest passes go back into member allowances. Nobody in the queue is touched, and no member or guest records are deleted.
This is for clearing out test seatings before you open. On a real day, use Clear Table or They’ve Left instead — those keep the record straight.
Deletes every member and every guest in the app, along with their visits, perks, session counts and guest passes. This is the one that empties the People tab — for wiping a test run once, before the real names start coming in.
Shopify is left alone: customers and subscriptions there stay exactly as they are. Download the full backup at the top of this page first if you want a copy of what you are about to remove.
Deletes every visit ever recorded — the whole play history, not just today — so the Analytics tab, the shift log and the day’s takings all start again from nought.
Members, guests, memberships and the comp log are left exactly as they are. This is the one to use if you have already sold real memberships but the seatings behind them were tests. Sessions and guest passes spent on those visits go back into people’s allowances.
One button for the entire test run. It clears every table, empties the queue, takes back every comp, and deletes every member and guest along with their visits, perks, session counts and guest passes. What is left is the app as it arrived, on day one, with nobody in it.
This is the one to use the night before you open. Shopify is left alone: customers, subscriptions and orders there stay exactly as they are. If you want a copy of the test run first, download the full backup at the top of this page — nothing here can be undone.
